In order to respond production activity demands and improve the internal control and resources’ management, GMediaPlan was implemented at Production Operations area of RBS TV.
The implementation allowed centralizing information and streamlines the access to schedules and activity information to all work areas.
An important benefit that contributed to optimize resources planning and to assemble economic and productivity gains at Rio Grande and Santa Catarina broadcasters.
RBS TV is the largest regional TV network in Brazil. It broadcasts mainly national programs from Rede Globo and also its own production to a local audience.
In order to respond production activity demands and improve the internal control and resources’ management, GMediaPlan was implemented at Operations area of RBS TV.
The new management guidelines at TV operations (as a result of an operational program implemented in 2012 at 18 broadcasters in Rio Grande do Sul and Santa Catarina), demonstrated that tools and excel spreadsheets were no longer enough to answer the several demands among the different areas. The info was spread and always not available to all the parts involved in the process.
It was crucial centralize activity info and ensure the access and availability to all areas in real time. According to Caio Klein, operations manager at RBS TV, “for a media company, it’s crucial to make info timely available and accessible in real time.”
After a deep analysis, which lasted approximately 3 years, GMediaPlan was implemented in 2014 at Porto Alegre and Florianópolis broadcasters, to support production activity planning and to manage human resources, schedules and equipment.
GMediaPlan’s implementation took place within a very short and ambitious time frame, focusing 1 or 2 weeks on specific Production Operations areas from Rio Grande do Sul and Santa Catarina. After 2 months the solution was implemented in different areas, such as studios, production suites, camera operators and image editors, electronic news-gathering, documentation, master control and ingest. Since October 2014, GMediaPlan was implemented and is daily used by more than 200 people at Operations area.
The centralization of the information consisted on the main direct gain, allowing the access to schedules and activity information to all areas and the possibility of working in an integrated and reliable way. Previously the coordinator to meet area needs managed his equipment and people in excel and didn’t share with other coordinators in how, when and what way the request will be accomplished. With GMediaPlan implementation “all Monday planning meetings are handled at GMediaPlan instead of excel”, says Caio Klein.
From the moment info became centralized and available to all, it became possible to know and analyze the best resource to meet a demand, allowing having productivity gains. According to Caio Klein, “with GMediaPlan we had real gains relating to time response in all demands”.
Hiring people became easier and contributed also to have economic gains. Knowing real resources’ needs versus their availability, provide the best and least expensive resource selection when we are hiring – a situation that would not be possible if the resource is hired very close to the event.
Schedules and daily tasks integration provided a greater knowledge of the way employees occupy their working hours, allowing to make a more optimized planning between working time and breaks, day-off and the absences of the employee.
A contribution extended to scheduling planning control, in order to support and ensure the full cumpliance of labor laws.
At the same time, GMediaPlan also contributed to a deeper analysis of the activity planning, providing indicators and reports to help on decision making and improve areas performance and productivity.
The ability to meet different needs, dynamics and operational routines from several production operating areas, recognizes GMediaPlan’s versatility among its users.
